Terms and Conditions

Best Foot Forward (“BFF”) is organised by the University Advancement Office of Nanyang Technological University, Singapore (referred herein as the "Organiser"). These terms and conditions apply to each of the BFF physical run (X Campus Run), virtual run and virtual cycle events (the “BFF Event”) and are published at bff.ntu.edu.sg. (the "Official Website").

The Organiser may, at its sole and absolute discretion, amend these terms and conditions in its sole discretion without notice to the Participants (as defined below). Participants should check the Official Website regularly for the latest updated terms and conditions and event information.
Registration
  1. By signing up for the BFF Event, including but not limited to the registration and submission of the online registration form, each participant in the BFF Event (the "Participant") acknowledges and agrees that these terms and conditions ("Terms and Conditions") apply to his/her participation in the BFF Event, and agrees to be bound by these Terms and Conditions, and any other prevailing terms and conditions of the Organiser, all of which may be amended from time to time.
  2. The Participant agrees that registration for the BFF Event is personal to the Participant and is not transferable to any other person, nor will any other person be permitted to participate in the Participant's place.
  3. The Participant can select the fund he/ she wishes to donate to at the point of registration if he/ she signs up for the BFF Event as an individual. If he/ she signs up to be part of a team, the fund that he/ she donates to will be determined by the team leader at the point of registration by the team leader.
  4. The Participant acknowledges that registration for the BFF Event is only confirmed upon the completion of a successful donation and the issuance of a confirmation email by the Organiser. Notwithstanding the foregoing, the Organiser reserves the right, without liability, to not grant or to revoke any Participant’s registration and/or to exclude the Participant from the BFF Event, particularly if the Organiser deems that the Participant (a) has provided incomplete, incorrect, or inaccurate information; (b) is in breach of these Terms & Conditions or any other applicable terms and conditions set by the Organiser from time to time; or (c) will adversely affect the health, safety, or security of himself/herself, other Participants, or the BFF Event through his/her participation. All donations made are strictly non-refundable. Participants are not permitted to change their race categories upon the confirmation of their registration via the confirmation email sent by the Organiser.
  5. The Organiser reserves the right to determine the race categories and the relevant donation amounts for participation in the BFF Event at its sole discretion.
  6. Once the registration form has been duly processed and accepted by the Organiser, there will be no refund of donations for those Participants who do not take part in the BFF Event, for whatsoever reason. The Organiser will only process and accept duly completed online registration forms. It is the responsibility of the Participant to check that he/she has:
    1. duly completed and submitted the online registration form;
    2. verified all materials, documents, information and details submitted by him/her in the online registration form; and
    3. checked that such registration has been accepted by the Organiser.
    The Organiser will not be responsible for any incomplete entry details, incorrect or inaccurate information or details submitted by the Participant and/or failure to process and accept the Participant's registration form.
  7. In submitting his/her online registration form, each Participant declares that he/she is 18 years of age or older at the time of registration for the BFF Event. If a Participant is below 18 years of age, the Participant must seek the express written consent of his/her parent or guardian before registering and participating in the BFF Event, and in such an instance, the parent or guardian of the Participant certifies that he/she has read this document and fully understands it and agrees to these Terms and Conditions for and on behalf of the Participant. Only runners aged 18 and above can take part in the physical running event, X Campus Run. Runners below 18 years old are welcome to take part in the virtual run.
  8. The BFF Event will have the following race distances:

    Virtual Run: 3KM, 10KM, 30KM and 100KM
    Virtual Cycle: 30KM, 60KM, and 150KM

    Each Participant can choose to take part in any of the race distances within the clock-in period from 6 February 2026, 12:00am to 17 April 2026, 11:59pm (or such other period as may be determined by the Organiser in its sole and absolute discretion) (the “Clock-In Period”). Each Participant must choose, at the point of registration, whether to join the run as an individual or as a team. A Participant who joins the run as an individual will not be able to transfer and/or amend his/ her registration to a team, or vice versa, after submitting the registration form.
SUBMISSION OF RUNNING DURATION AND DISTANCE
  1. To submit the running duration and distance (“Race Submission”) for the BFF Event, Participants can choose to:
    1. use the recommended GPS-enabled running tracker app - Strava as outlined on the BFF Event information on the Official Website; or
    2. key in the distance manually (further details will be provided on the Official Website).
  2. In order to meet the race distance, Participants are permitted to combine multiple runs to complete the race distances which they registered for, provided that all Race Submissions of the individual race distances are made using the permitted platforms within the Clock-In Period.
  3. The Organiser reserves the right to disqualify any Participant and/or any Race Submission made by the Participant which does not meet the relevant eligibility criteria.
  4. In submitting the Race Submission, the Participant may incur phone, internet and/or other charges and fees, and the Participants shall be responsible for all such charges and fees. The Organiser shall not be liable for any losses, damages, costs, expenses or liabilities suffered or incurred by the Participant as a result of the use of such medium.
  5. Where the Participant uses any third-party platform, such as Strava, as the Organiser has no control over such platforms, the Participant acknowledges and agrees that the Organiser is not responsible or liable for any content or material on such platforms. The Organiser does not in any way, expressly or implicitly, endorse any third-party platform or the respective contents thereof. The Participant further acknowledges and agrees that the Organiser shall not be responsible or liable, whether directly or indirectly, for any damages or loss caused or sustained by the Participant, in connection with any use or reliance on information or material obtained from any third-party platform.
FUNDRAISING PROFILE PAGE
  1. Each Participant can create his/ her own fundraising profile page to fundraise from his/ her network.
  2. Participants must not upload any obscene, illegal, unlawful, disrespectful or disparaging content or material and/or any material which, in the reasonable opinion of the Organiser, will bring Nanyang Technological University and/or its partners, affiliates, subsidiaries, agencies and contractors into disrepute. Consequently, the Organiser reserves the right, at its sole and absolute discretion, to remove any questionable or undesirable content, or/and to prohibit any Participant from taking part in the BFF Event.
  3. Each Participant represents and warrants that all materials, documents, information and forms submitted or displayed by him/ her in connection with the BFF Event do not infringe on the rights of any party including, without limitation, the intellectual property rights of any third party. In the event of any purported, alleged or actual infringement of the intellectual property rights of any third party, the Participant shall indemnify the Organiser and its affiliated entities from and against any losses, claims, demands, damages, liability, costs and expenses suffered and/or incurred by the Organiser and/or its affiliated entities.
RACE ENTITLEMENTS
  1. Race entitlements (Race Tee and Finisher Medal) will be made available to all participants and will be mailed to the corresponding mailing address provided during registration. Participants will need to submit their Race Submissions to show proof that they have completed the race before the entitlements are mailed to them. Participants who sign up for the X Campus Run (Physical Flag Off) event can collect their Race Tee during that event. The Organiser will not be responsible for any lost mail of the race entitlements.
  2. The Organiser reserves the right to replace any entitlement with products of similar value without giving prior notification or any reasons thereof.
OWNERSHIP AND RIGHTS
  1. All names, logos, marks, symbols, trademarks or other intellectual property contained in any materials, products or items used or distributed in connection with the BFF Event are, and shall remain, the property of their respective owners. For the avoidance of doubt, the logo and trademark of Nanyang Technological University and logo of the BFF Event are the intellectual property of Nanyang Technological University.
  2. Any intellectual property rights in any work or submission submitted by any Participant in connection with the BFF Event shall be vested in and owned by the Organiser without further action. The Organiser shall have the right to create derivative works and sub-license any such works to any third party at its discretion without compensation or attribution to any Participant.
CANCELLATION OR POSTPONEMENT
  1. The Organiser reserves the right to cancel or postpone the BFF Event, including the date, course and/or location, at any time without prior notice to the Participant. In the event of such cancellation, postponement or modification, the Organiser will post the details of cancellation, postponement or modification on the Official Website, and may (but is not obliged to) inform the Participant prior to the date of the postponed BFF Event. If the BFF Event is cancelled, postponed or modified, there shall be no refund of donations unless otherwise determined by the Organiser in its sole discretion. The cancelled or postponed event may not be rescheduled, and the Organiser shall not be liable for any loss or inconvenience caused.
  2. Where the BFF Event would be adversely affected by persistent conditions beyond the Organiser’s reasonable control such as the outbreak of COVID-19, etc. (based on MOH's advisory), or haze (where the air quality pollutant standards index rises above the acceptable PM2.5 readings or based on NEA's advisory), the Organiser reserves the right to cancel or postpone the BFF Event without any prior notification. Participants will still be entitled to their race entitlements, subject to the provisions set out above. However, donations made to the Organiser are strictly non-refundable and non-transferrable.
LIMITATION OF LIABILITY
  1. By registering for and participating in the BFF Event, the Participant acknowledges and agrees as follows:
    1. each Participant agrees to release and exempt the Organiser from any losses, claims, demands, damages, liability, costs and expenses suffered and/or incurred by the Participant in connection with the use of any virtual platform which is utilised by the Organiser for the purposes of registration, administration and for submission of Race Submissions (“Electronic Platforms”). The Participant acknowledges that he/she may be required to accept the terms of use applicable to the use of any Electronic Platform and any failure to accept the relevant terms of use may result in the Participant being unable to, amongst others, submit Race Submissions.
    2. each Participant agrees and acknowledges that the Organiser assumes no responsibility for any error, omission, interruption, defect or delay in the transmission or for any unauthorised access to the Race Submissions (including any alteration or amendment of such submissions);
    3. each Participant agrees to release, discharge and hold harmless Nanyang Technological University and its partners, affiliates, subsidiaries, agencies and contractors, and their respective directors, officers, employees and representatives from any losses, damages, liabilities, costs and expenses arising directly or indirectly out of their participation in the BFF Event or any related activities; and
    4. to the maximum extent permitted by law, each Participant agrees that the Organiser shall not be liable or responsible for any injury, property damage (even in the case of the Organiser’s negligence), or economic loss (even in the case of the Organiser’s negligence) sustained as a result of his/her participation in the BFF Event and/or its related activities. In the event the Organiser’s liability or responsibility for such injury, property damage, or economic loss cannot be excluded, the Organiser’s aggregate liability to the Participant shall be limited the amount donated by that Participant at the point of his/her registration.
PERSONAL DATA PRIVACY STATEMENT
  1. By registering online and participating in the BFF Event, the Participant acknowledges and agrees to the privacy statements below and consents to the collection, use, disclosure and/or processing of the Participant's personal data by the Organiser for one or more of the following purposes:
    1. process the Participant’s registration to participate in the BFF Event and administer and manage the Participant’s participation in the BFF Event (including for the administration, promotion and marketing of it) (“Participation”);
    2. for the BFF Event and donation administration;
    3. create and maintain the Participant’s profile in the Organiser’s system database for internal records and reference;
    4. issue Race entitlements and/or any other products related to the BFF Event to the Participant (if applicable);
    5. use and publication of the Participant's name, race result, age in any form of media (including but not limited to the Official Website, website of Nanyang Technological University, emails, and social media platforms);
    6. contact the Participant by email, post, voice call, text (SMS/MMS), instant messaging or fax;
    7. generate and/or develop marketing/promotional materials for the BFF Event;
    8. send the Participant marketing/promotional material in the future by email or post about any future editions of the BFF Event; and
    9. any other purposes as the Organiser may seek (and obtain) the Participant’s consent for from time to time.
    (collectively, the “Purposes”).
  2. The Organiser may disclose the Participant's personal data to any third parties involved in the BFF Event, and to its suppliers and service providers, and agents, located within or outside of Singapore, for one or more of the above Purposes, as such third parties would be processing the Participant’s personal data for one or more of the above Purposes.
  3. The Participant consents to the Organiser's use and publication, without any compensation, fee, charge or other remuneration, for the Purposes, of any photographs, motion pictures, recordings, or any other records of the BFF Event (including any pre-event or post-event activities) that may contain the Participant's image, voice, or statement, and to the use and publication of the Participant's name, race result, age in any form of media (including but not limited to the Official Website, website of Nanyang Technological University, emails, and social media platforms).
  4. 27. All personal data furnished by Participants and collected in connection with the BFF Event shall be subject to Nanyang Technological University’s Privacy Statement which is available on (a) NTU Privacy Statement | NTU Singapore for non-employees and non-students, (b) NTU Personal Data Privacy Statement and Consent by Employees for employees, and (c) NTU Personal Data Privacy Statement and Consent by Students for students.
  5. The Participant has the right to withdraw his/her consent given hereunder, whether in part or as a whole. However, the Participant's withdrawal of consent could mean that the Organiser will not be able to continue with the Participation with the Participant. Should the Participant wish to withdraw his/her consent, please send an email to the Organiser’s office at uao@ntu.edu.sg.
GENERAL
